Committee Meeting: 6:30pm @ mooch on 28th May

Yep, I'm calling one of these, but well in advance (i also just enjoy the fact I can)

But also need to figure out when the whole committee can actually meet up, I'm going to suggest Friday the 28th of may as a bit of a headsup, assuming no one has exams the Saturday morning that should be ok.

As for location, we'll go with mooch (I'd say bag but its too loud in there) and if everyone could come up with some ideas we can start to implement over summer, especially with regards to freshers fair.

if any of the committee cannot make this date post on the forum or email me, with an idea of when they can do it as I'd like the first meeting to have everyone in attendance! (i'll also email this post in one form or another to everyone)

so summary:

committee meeting friday the 28th May at Mooch. 6:30pm

i think we should take advantage of the fact nottingham trent has no club and recruit at there freshers fare.

President - Me
Vice President - Alex O
Social Sec - Burman
Treasurer - Alex (don't know surname i'm afraid, road rider is all i know)
DH sec - Sideways
XC sec - Sam i believe took that?
Road - ?
Secretary - ?

i'm unsure who it all got divided up in between in the end, there was some confusion over vice pres, sec, n stuff for a bit.

Yeah Sam is XC sec. Secretary is Joe Dean. I dunno about road. Also I think Ed was the second social sec if I remember correctly. We should probably have photocopied that sheet before we gave it into the AU/SU, keep a record of things.

Will be there at the meeting.

Definitely sounds like we need the meeting just to work out who everyone is.. I'm treasuer (Alex Cook) and the Road Sec is Matt Cardell-Williams

brilliant, yeah towards the end it got a bit confusing, we'll finalise it t the meeting, and Alex (vp) can you get in touch with the bloke who runs the website and get control? that way can update stuff, also the list of members with admin capability is getting a bit mental.

i'm going to attempt to figure out how to email everyone, wish me luck

Yeah I will get in touch with the guy who runs the site. How much free reign he gives us will completely depend on who exactly hosts the site and how the site runs. If he's running it on his own server and isn't therefore willing to give us full control we could even consider taking some club funds to get our own yearly hosting package. But yeah I dunno the state of it yet so I'll send him an email and find out, will let you know at the meeting. I'll also get a list of members with admin capability and we can review who they are and whether they need it at the meet too.

Talk to Simon about how to set up the mailing list, actually it would be pretty cool if he could come along to this meeting as he's been running it for a year and knows the ropes. Or at least he could have a one-to-one with you (lolz).

Theres a really loong list of admins, its all the past committee members, check in the members sections should be able to view it?

The mailing list is fine, its via the SU site, i'd done it before for the xmas social and i believe it went through again today?

As for simon coming along, he'll be in germany at that point in time, but i can have a chatter with him when he gets back as to any one to one pointers.

Yeah the mailing list works, got your email, only minor thing is that it still says From: Cycling [<simonsemailaddress>@hotmail.co.uk] even though when I click reply it wants to reply to leycrte at nottingham which I assume is you. Probs something needs changing on the SU site.

Yep thats just because simons still president on the site, that'll take a bit to change.

I could have set it to come from me (leycrte) but it wouldnt be from "cycling" with that, figured people will look if its from cycling.

and i can view members, i guess its an admin thing (i've got it cos i was social sec)

im pretty sure you could set up a nottingham wide club with trent as well but you might have to talk to someone at there su, james a mentioned there might be a beeston mountainbike xc club might be worth investigating.

I was going to suggest if we called this the 'Committee hand over meeting' and we could use some club funds to subsidise a bit, but I've just been sent an email which says that we are overdrawn. I'll try and work out where we are owed, then I'll bring the accounts to the meeting and we can sort out how to recuperate the money.

Thats part one of it yeah

committee hand over meeting is going to take place the week after exams, it'll be food etc, burman is sorting that out as social sec.

We looked at the funds and it SHOULD be ok if we can get everyone to pay up what is owed.
